Job Description Summary

Reporting to the Associate Director of Financial Aid, the Financial Aid Operations Specialist is responsible for financial aid records management, systems and data integrations and management, communications production, customer service, second-tier financial aid packaging, and general financial aid processing. This includes servicing students and families on basic financial aid needs, responding to requests, and processing financial aid documentation. This person will be required to analyze federal records and institutional policies to ensure financial aid awards are properly recorded and maintained with high-levels of confidentiality.

This position requires independent decision-making. Also, the person must be conscious at all times of federal regulations and maintain processes within the scope of those regulations. This is achieved by thoroughly listening to the customer’s request as well as an understanding of both institutional and federal policy procedures. A basic understanding of the role and importance of federal compliance and institutional governance is imperative.

Essential Functions

•Deliver top-quality customer service to both prospective and current students/families as they seek assistance and counsel. Connect customers to other financial aid professionals or members of the Nazareth College community as needed.

•Assist the Assistant Director and Sr. Assistant Director with student financial aid packaging as requested.

•Manage the Federal Verification process on selected student FAFSA forms. This includes a detailed review of the IRS Tax Transcript, Federal Verification Form, and other supporting documentation. If necessary, update the FAFSA, perform need analysis, and, if necessary, send revisions to the student and the U.S. Department of Education.

•Process disbursements on all non-loan funds regularly in order to post financial aid to the student account and the general ledger. Reconcile the disbursements on a daily basis, including loan disbursements generated by the loan counselor, using the FATR report.

•On a monthly basis, reconcile the information and amounts between Colleague and the PowerFAIDS systems.

•Manage all of the reconciliation and awarding processes associated with the Graduate Assistantship Program and the Resident Assistants Program. This includes managing the overall student budget of graduate and undergraduate students to ensure proper amounts are established.

•Manage and process all private loan applications and the associated processes that correspond with their integration with the financial aid awarding process.

•Manage and process all third-party scholarships and the associated processes that correspond with their integration with the financial aid awarding process.

•Manage and process all incoming freshman appeals and the associated processes that correspond with their integration with the financial aid awarding process. Assist in the returning student appeals process by updating the student record appropriately.

•Manage and process the receipt of NYS TAP applications and the associated processes that correspond with their integration with the financial aid awarding process and reconciliation of estimated versus actual awards.

•Serve as the primary point of contact for content management on the financial aid pages of the Nazareth College website. This includes keeping information updated and relevant, and collaborating with other colleagues on new content needs. In addition, manage all inbound email correspondence that is channeled through the office email account.

•Assist the Director of Financial Aid and the Associate Director of Financial Aid with project as requested.

•Supervise and task work-study students and graduate assistants.

•All other duties as assigned

Required Education, Experience, Technology Applications and Skills

•Associate Degree or combination of high school diploma with financial aid related experience.

•Evidence of ability to learn systems and technological tools to achieve tasks and provide service.

•Exceptional communication skills

•Ability to manage the responsibilities of a professional position and proactively perform essential tasks and activities.

•Integrity, trust, attention to detail, functional skills and knowledge, strong interpersonal skills and the ability to follow through on projects and assignments.

•Technical proficiency in standard business applications (MS Office Suite, GoogleDocs, etc.) is a requirement.

•Comfort and aptitude in managing, manipulating and analyzing data files

•A commitment to quality and team work

Physical Requirements

Must be able to work in a typical office environment that requires some lifting (up to 20 lbs), sitting for extended periods of time and working at a computer.
